12 Tips for Phone Etiquette Hospitality

1. Start with a positive mindset – Take a brief breath, smile, and remind yourself you’re the first point of contact for families seeking help.

2. Answer within two rings – Promptness signals that the school values the community’s time.

3. Put a smile on your face as you answer with a consistent greeting - “Good morning, thank you for calling [School Name – Gutierrez Middle School/Rodriguez Elementary/HCISD Main Office]. This is [Your Name]; how may I assist you today?”

4. Listen actively – Let the caller finish each thought; use affirming phrases such as “I hear you,” “That makes sense,” or “I understand.”

5. Match the caller’s pace and tone – Parents may be urgent; seniors may be relaxed. Mirroring helps build rapport.

6. Give the caller your full attention – Note-taking is fine, but resist checking emails or browsing the intranet while on the line.

7. Use the caller’s name – Insert it naturally (“Ms. Garcia, I’ve pulled up your son’s record…”).

8. Summarize frequently – After each major point, say, “Just to confirm, you’d like us to…?” to ensure mutual understanding.

9. Maintain professional language – No slang, colloquialisms, or informal humor that could be misinterpreted.

10. Handle holds transparently – If you must place someone on hold, state why (“I’m pulling up the attendance report”) and give an estimate (“should take about 30 seconds”).

11. Offer alternatives when needed – If a request falls outside your scope, direct the caller to the appropriate department (e.g., counseling, transportation).

12. Close with a courteous sign-off –
